Large‑Scale Event Installation for the Rotary International Convention
Large‑scale event installation requires more than logistics. It demands coordination, precision, and the ability to bring complex spaces to life under tight timelines.
The Client
Rotary International is a global network of volunteers dedicated to advancing health, peace and prosperity worldwide. Its annual Convention serves as a hub for connection, learning and inspiration, bringing members together to share ideas, explore humanitarian projects and engage with world class speakers.
For the 2025 edition, Rotary selected Calgary as its host city, with the BMO Centre on Stampede Park serving as the primary venue.
The Challenge
The convention was hosted at the newly expanded BMO Centre, which officially opened just weeks before the event. With a global audience arriving on a fixed timeline, there was little margin for error once installation began.
While exciting, the timing combined with the size and scope of the event presented unique challenges:
- The show footprint spanned three floors, including all seven exhibit halls, meeting rooms, ballrooms, lounges, show offices, and outdoor areas
- Installation of event branding within newly opened spaces with no prior branding history
- The event featured 280+ hardwall booths, all custom built and branded, plus extensive back‑of‑house and specialty spaces
Delivering a seamless experience at this scale required meticulous planning, adaptability, and deep operational expertise.
The Global Approach
Planning began well in advance. To fully understand the scope and expectations of the event, we sent our General Manager of Alberta to the 2024 Rotary International Convention in Singapore, enabling early relationship‑building and firsthand insight into the event’s complexity.
Global worked closely with key partners, including Encore (A/V) and The Calgary Stampede, coordinating layouts, schedules, and logistics across multiple teams. Given the scale of the project, Global supplemented the Calgary team with experienced staff from British Columbia and the East Coast, while also coordinating the transport of additional furnishings, structures, and equipment from our branches across Canada to support the full build.
Additionally, we brought in a dedicated account manager who was assigned to oversee the many moving parts, keeping the project on track from beginning to end.
Scope & Execution
Global was responsible for the physical build of the event. Supplying, installing, and coordinating the elements that shaped the convention experience across the venue.
We delivered full‑service event support, acting as a true end‑to‑end event partner:
- A dedicated team oversaw the coordination of installation, on‑site execution, and show days, ensuring continuity from build‑out through teardown.

The Calgary team led the execution, supported by national resources to deliver a coordinated, on‑time build.
Results & Impact
The Rotary International Convention 2025 was a landmark project—both for Global Convention Services and for the newly expanded BMO Centre. Internally, team members continue to cite this event as one of their most memorable, highlighting the collaboration, problem‑solving, and pride involved in delivering a world‑class international convention.
